CHIEF ADMINISTRATIVE OFFICER (CAO)


Organizational Overview:

Ozarks Counseling Center is a nonprofit community mental health agency committed to providing accessible, affordable, and compassionate mental health services to individuals and families in southwest Missouri. 


Position Summary:

The Chief Administrative Officer (CAO) plays a big-picture and boots-on-the-ground role at Ozarks Counseling Center. This person keeps the clinic running behind the scenes—making sure systems are smooth, finances are in check, and staff have the support they need to do their best work.


From managing budgets and streamlining operations to building strong teams and improving workflows, the CAO helps turn vision into reality. It’s a role for someone who loves organizing the moving parts, solving problems, and helping a mission-driven organization grow and thrive.

Key Responsibilities:

Clinic Operations & Team Support

  • Keep the clinic running smoothly day-to-day—overseeing everything from client scheduling and office procedures to resolving issues that pop up.
  • Lead a team of administrative staff, providing guidance, support, and opportunities to learn and thrive.
  • Make sure the client experience is seamless and professional from the first call to the last session.

Financial Management

  • Handle all things money: paying bills, processing payroll, tracking expenses, and keeping detailed financial reports.
  • Manage a budget, including donations and grants—ensuring every dollar is used wisely and transparently.
  • Help the organization grow sustainably by boosting revenue and supporting smart financial planning.

Strategic Growth & Systems Building

  • Work closely with leadership and the board to turn big ideas into real, achievable goals.
  • Put better systems in place to support staff and serve more clients efficiently.
  • Lead major improvements, like implementing an electronic health record system and expanding the team from 10 to nearly 30 employees.

Tech, Tools & Compliance

  • Oversee the clinic’s use of technology, making sure our systems (like EHR and payroll) work reliably and securely.
  • Stay on top of compliance, especially around HIPAA and risk management, to protect both staff and clients.
  • Use data and insights to spot trends, solve problems, and make things better across the organization.

Board & Community Collaboration

  • Partner with the Executive Director, board members, and funders to align priorities and share results.
  • Play a behind-the-scenes role in fundraising and grant management by tracking budgets and reporting outcomes.
  • Help build strong relationships that support the clinic’s mission and future.


Qualifications:

  • Bachelor’s degree in business administration, nonprofit management, public health, or related field (Master’s preferred).
  • Minimum 2 years of leadership experience in operations, HR, finance, or      administration—preferably in a nonprofit or healthcare setting.
  • Strong understanding of nonprofit finance.
  • Proven leadership and team-building skills; experience managing diverse teams.
  • Excellent communication, organizational, and analytical skills.

PART-TIME OFFICE ASSISTANT 


Betty and Bobby Allison Ozarks Counseling Center is small nonprofit making a big difference in the lives of those needing professional help with mental health issues. We work hard at our mission to provide treatment regardless of the client’s ability to pay. Many of our clients are addressing depression, anxiety, relationship issues, grief, child adjustment, or a number of other issues. This is meaningful, important work in our community touching more than 2,300 lives each year.


Our close-knit community of therapists need a strong support team to make it possible to provide the level of service our clients deserve. We need an office assistant to take phone calls and guide clients into scheduling, help problem solve on the fly, check clients in and out, receive payments, process client paperwork, enter data, fulfill records requests needed for other treatment providers or the client’s legal team, and basic cleaning. We need help 16-24 hours a week (more possible) including some Saturdays and/or evenings since we have extended hours to make therapy as accessible to as many people as possible. 


If you are interested in serving the community, have strong communication skills, are proficient with computer technology and basic office equipment, have exceptional attention to detail, are able to prioritize tasks, problem-solve in a fast-paced and challenging work environment, this team might be a good fit for you. Prior experience in customer service and/or mental health field is a plus.
